Job Description :

Compensation & Benefits

  • Prepare monthly payroll, Personal Income Tax (PIT), and mandatory insurance for expatriate employees.
  • Register tax codes and tax accounts and handle PIT matters for Japanese employees.
  • Register dependents for employees’ PIT purposes.
  • Manage medical insurance and medical care arrangements in accordance with company policies.
  • Compile monthly timesheets for Vietnamese and expatriate employees for payroll calculation.
  • Calculate and monitor compensation leave for Vietnamese employees.
  • Perform PIT reconciliation with the Tax Department for expatriates and Japanese employees.

Expatriate & Japanese Employee Management

  • Coordinate with the Department of Home Affairs, Immigration Authority, relevant government agencies, and service providers regarding regulations applicable to expatriates.
  • Manage Work Permit, Visa, Temporary Residence Card (TRC), and Electronic Identification (e-ID) applications for expatriates and Japanese employees.
  • Ensure expatriate-related processes comply with Vietnamese laws and company policies.
  • Prepare monthly and periodic reports for internal management and relevant authorities.
  • Arrange medical check-ups required for Work Permit applications.
  • Monitor the legal status of expatriates to ensure timely renewal and avoid compliance issues.

HR Compliance & Development

  • Maintain and continuously improve HR systems, policies, standards, guidelines, processes, and procedures.
  • Monitor changes in Vietnamese labor laws and ensure compliance with legal requirements and company policies.
  • Support communication and implementation of HR policies, company rules, regulations, and Code of Conduct.
  • Review and improve the HR portal to enhance operational efficiency and user experience.
  • Maintain employee records in accordance with company policies and legal requirements.
  • Prepare statutory labor reports as required by law.
  • Support employee engagement activities such as birthday celebrations, year-end events, and other company activities.
  • Participate in rotational duties according to the Emergency Management Team (IGPV-EMT) schedule.
  • Prepare quarterly workforce information reports for PVN as required by the SHE team.
  • Prepare quarterly security and order reports for the Business Unit using industrial explosives, as required.

Other Responsibilities

  • Collaborate with other departments and support HR initiatives and projects as assigned.
  • Perform other duties assigned by the direct supervisor.
  • Contribute to the achievement of overall HR team objectives.

Key Performance Indicators

  • 100% accuracy in payroll, PIT, and mandatory insurance calculations.
  • 100% on-time monthly salary payments and statutory submissions.
  • At least 95% on-time processing of Work Permits, Visas, and TRCs.
  • Zero expired legal status or operational delays related to expatriate employees.
  • 100% on-time submission of statutory and periodic reports.
  • 100% compliance with the IGPV-EMT rotational duty schedule.
  • Achievement of assigned HR team goals.

Job Requirements :

Education

  • Bachelor’s degree in Human Resources Management, Business Administration, or a relevant field.

Professional Knowledge

  • Good knowledge of Vietnamese Labor Law.
  • Strong knowledge of Personal Income Tax and mandatory insurance regulations.
  • Good knowledge of Visa, Work Permit, and Temporary Residence Card regulations.
  • Knowledge of HR operations, employee relations, recruitment, employment procedures, and HR documentation.
  • Knowledge of HR policies, processes, standards, and compliance requirements.

Experience

  • Minimum 5 years of experience in Human Resources, Administration, and/or Office Management.
  • Experience working in an international company is an advantage.
  • Practical experience in payroll, PIT, insurance, and expatriate management is highly preferred.
