Document Controller

Job Description :

Manage and control all incoming and outgoing project documents, including both electronic and hard-copy records.

Receive, verify, register, archive, issue, and distribute project documents and drawings in accordance with project procedures.

Coordinate with the Engineering Team to prepare document review comment sheets for contractors.

Maintain and update the Master Document List (MDL) to monitor document review cycles, revisions, and approval status.

Ensure only the latest approved revisions are used by retrieving obsolete documents and replacing them with updated versions.

Support project teams and other departments in document control and retrieval activities.

Design and maintain document templates, filing structures, and document databases.

Review documents for accuracy, completeness, and compliance with project requirements.

Maintain an organized, secure, and efficient document management system for both physical and electronic records.

Monitor document review progress and expedite approvals when required to support project schedules.

Ensure proper handling, confidentiality, retention, and disposal of sensitive project documents.

Assist employees in accessing documents through the document management system.

Perform other duties assigned by the Team Lead or Manager.

Job Requirements :

Education

Bachelor’s degree or higher.

Professional certifications in Document Control or related disciplines are an advantage.

Experience

Minimum 05 years of experience as a Document Controller in Oil & Gas projects.

Experience in at least one (01) FEED project.

Experience in at least one (01) EPC/EPCI project.

Experience working in an international environment is preferred.

Overseas project experience with at least one successfully completed project is an advantage.

Knowledge & Skills

Strong knowledge of Document Management Systems (DMS).

Proficient in Microsoft Office applications.

Excellent document control, filing, and record management skills.

Strong report writing and typing skills.

Good understanding of document control standards, procedures, and regulatory requirements.

Experience with large-scale document archival and retrieval systems.

Familiar with Client and Contractor documentation systems and requirements.

Good understanding of Oil & Gas industry standards, practices, and technical nomenclature.

Ability to manage and update document databases using document management software.

Strong organizational skills with exceptional attention to detail.

Ability to work independently, prioritize tasks, and meet tight project deadlines.

Good command of written and spoken English (minimum TOEIC 500 or equivalent).

Strong interpersonal, communication, and teamwork skills.
