Document Controller

Job Description :

Support the administration and operation of the document management system for all construction documents.

Coordinate with internal and external stakeholders to understand document control requirements, progress, and quality standards.

Develop and implement document control guidelines, procedures, workflows, and processes.

Manage the document management system, including document tracking, registration, filing, archiving, updating, and retrieval.

Receive, register, scan, copy, and distribute documents in accordance with established procedures.

Maintain proper document storage and filing systems to ensure compliance and easy retrieval.

Update, revise, and modify documents when necessary.

Monitor the effectiveness of the document control system, identify risks, propose solutions, and implement improvements.

Ensure all documents are properly updated and filed in the document control systems, such as ProArc and OMS.

Ensure documents are distributed accurately and on time to relevant stakeholders.

Review and update document control policies, standards, guidelines, processes, and procedures as required.

Recommend improvements to document control policies and procedures to optimize workflows and align with best practices.

Provide document control support and expertise to management and other departments when required.

Ensure document control activities comply with company policies, legal requirements, and the Vietnam Safety, Health and Environment Management System (VSHEMS).

Job Requirements :

Education:

  • Vocational/College degree in Business Administration, Office Administration, Business Management, or a related field.

Experience:

  • Minimum 3 years of experience in document control and database management.
  • Experience in implementing and administering project document control procedures, processes, databases, and workflow systems.

Knowledge:

  • Good knowledge of document control processes and document management systems.
  • Understanding of document registration, distribution, filing, archiving, updating, and retrieval processes.
  • Knowledge of project document control procedures and workflow systems.
