Procurement Specialist

Job Description :

Ensure all procurement and contracting activities are carried out in compliance with Company HSEA Procedures, regulatory requirements, and applicable legislation.

Maintain full compliance with Company Procurement Policies, Governing Regulations, Corporate Ethics, and Business Processes.

Coordinate procurement activities based on production schedules, purchase requisitions, operational requirements, and anticipated demand planning.

Provide professional advice on procurement strategies, tendering processes, commercial evaluations, and ethical procurement practices.

Coordinate with User Departments and relevant stakeholders to jointly prepare:

Contracting strategies

Tender plans

ITTs (Invitation to Tender)

RFQs (Request for Quotation)

Technical and Commercial Evaluation Reports

Award Recommendations

Implement end-to-end tendering processes in accordance with Company Procurement Procedures.

Coordinate Financial Due Diligence and Anti-Bribery Due Diligence processes during supplier evaluation and selection.

Manage procurement activities from commercial bid evaluation through contract award and execution.

Conduct commercial negotiations to achieve optimum pricing, delivery schedules, terms, and contractual conditions.

Liaise with Legal Department on contractual and legal matters where required.

Deliver high-quality contracts aligned with corporate business objectives while minimizing contractual and commercial risks.

Monitor contract issuance, approvals, execution status, and contractual compliance.

Coordinate post-award contract administration activities and support supplier performance management processes.

Develop and monitor Supplier KPIs and conduct regular supplier performance review meetings.

Support FPSO-related procurement and insurance contract management activities.

Analyze requirements for contract amendments, variations, and modifications, and prepare related documentation.

Prepare external correspondence including clarification letters, approval requests, and commercial communications with suppliers and stakeholders.

Maintain strong working relationships with suppliers, manufacturers, logistics providers, and contractors to improve procurement efficiency.

Manage NAVA Procurement System to ensure standardization, transparency, and operational efficiency.

Ensure effective communication and coordination across procurement disciplines and internal departments.

Maintain procurement status reports and ensure timely updates to management.

Implement document control and document management procedures to ensure proper filing, tracking, and record retention.

Perform additional Contracts & Procurement duties assigned by C&P Manager or Operations Contracts Team Leader.

Job Requirements :

Minimum 5 years of relevant experience in procurement of equipment, materials, and spare parts supporting FPSO operations and maintenance activities.

Proven experience in:

Procurement and tendering processes

Contract drafting and commercial terms & conditions

Scope of Work and compensation analysis

Contract administration and contract close-out

Supplier performance management

Commercial negotiations and procurement strategy implementation
